Partner Terms for Shelters
These terms apply to animal shelters and other organisations that list dogs on Rondje Mee through an organisation account ("the shelter"). They apply in addition to Rondje Mee's Terms of Use, Code of Conduct, Safety Protocol and Privacy Policy. If these partner terms differ from the Terms of Use, these partner terms prevail for the shelter.
1. Verification
- Rondje Mee verifies every shelter before it can list dogs. We ask for the organisation's registration number:
- Netherlands: Chamber of Commerce (KvK) number;
- Belgium: enterprise number (KBO/BCE);
- Spain: NIF (formerly CIF).
- We may also ask for a registration or licence as a shelter, if this is required in your country or region.
- The shelter appoints a contact person who is authorised to act on behalf of the organisation.
- Rondje Mee may refuse an application or withdraw a verification, for example if information is incorrect or a licence lapses. We will explain why.
2. Organisation account and staff
- The shelter can give access to several staff members or regular volunteers. They must be 18 or older.
- The shelter is responsible for what its staff do through the organisation account.
- If someone leaves the organisation, remove them from the account straight away.
- Staff keep their login details secret and use walkers' data only for walks.
3. Dog profiles and bulk import
- The shelter can create dog profiles one by one or import them in bulk.
- The shelter assesses each dog and sets a suitable experience level for walkers.
- The shelter is honest and complete about each dog's behaviour, bite history, health and special needs.
- The shelter keeps profiles up to date. If a dog has been adopted, is ill or is temporarily unavailable, update or deactivate the profile immediately.
- The shelter makes sure dogs are microchipped, registered and vaccinated as required by law, and insured for damage caused to others.
- In Spain, the shelter indicates which dogs are PPP dogs and follows the rules that apply to them.
4. First meetings, and no solo walks
- A member of the shelter's staff is always present at a first meeting. That person carries out the ID check: checking that the name, photo and age match, and ticking the box in the app. Do not copy or photograph the identity document.
- A walker never walks a shelter dog alone. Someone from the shelter is always there: at a first meeting or on a supervised group walk (section 5). Solo trust, with which an owner lets someone walk their dog alone, is therefore not something a shelter can grant.
5. Supervised group walks
- The shelter sets the maximum number of places and does not take on more walkers than it can safely handle.
- At least one experienced supervisor from the shelter is present on every group walk.
- The shelter gives a short briefing beforehand about the route, the dogs and the safety rules.
- The shelter matches dogs with walkers who have a suitable level of experience.
- The shelter records attendance in the app.
6. Insurance and own policies
- The shelter has liability insurance that covers damage caused by its dogs, including when a walker is walking a dog through Rondje Mee.
- The shelter decides whether walkers who come through Rondje Mee fall under its volunteer policy and volunteer insurance. The shelter tells walkers clearly what is and is not covered.
- Be aware of the rules on volunteering in your country, such as the Belgian Volunteers Act (Act of 3 July 2005) or the Spanish Ley 45/2015 del Voluntariado. These may impose obligations, such as insurance or providing information to volunteers.
- The shelter may have its own house rules. Make them clear on the shelter's or the dog's profile.
7. Cancellations
- The shelter honours accepted walks.
- If a walk or group walk cannot go ahead, cancel through the app as soon as possible so walkers do not make a wasted trip.
- If walkers often cancel without reason or do not show up, let us know through the app.
8. No money
- The shelter does not ask walkers for money for walks arranged through Rondje Mee, including as a contribution, membership fee or deposit.
- Do not use Rondje Mee for fundraising or advertising, unless we have agreed on this together in writing.
9. Data protection
- Rondje Mee is the controller for the data on the platform.
- The shelter is an independent controller for its own volunteer records, and for data it receives through Rondje Mee and uses for its own purposes.
- The shelter uses walkers' data only for walks and supervision. Not for newsletters, fundraising or other purposes, unless the walker has consented to this.
- The shelter keeps the data secure and limits access to staff who need it.
- If the shelter suspects a data breach or misuse of data through Rondje Mee, it informs us as soon as possible and within 24 hours at the latest.
- The shelter and Rondje Mee help each other when someone exercises their privacy rights.
10. Photos and stories
- The shelter only posts photos and texts it has the rights to.
- If people appear in a photo, the shelter has their permission.
- Rondje Mee only uses the content to operate the platform, as described in the Terms of Use. We ask separately for permission to use it on social media or in campaigns.
- If the shelter wants to take or share photos or videos of walkers, the shelter asks for their permission in advance.
11. Liability
- The shelter remains the keeper of its dogs and is responsible for them. The shelter decides which walker may walk which dog.
- Rondje Mee is an intermediary and does not supervise walks. Rondje Mee does not check the dogs.
- Each party is liable for its own mistakes, as provided by law.
- The limitations of our liability in the Terms of Use also apply towards the shelter, to the extent permitted by law. They do not apply in the case of intent or gross negligence.
12. Term and termination
- These terms apply for as long as the shelter has an organisation account.
- The shelter can close the account at any time. Rondje Mee can end the partnership with 30 days' notice.
- Rondje Mee can restrict or close the account immediately in the event of serious problems, such as animal welfare concerns, danger to walkers, deception, or if the verification is no longer valid.
- When the partnership ends, we take the dog profiles offline and delete the data as described in the Privacy Policy. We first deal with any open reports.
